The CEO defined the problem in a very simplistic manner, he said, “We started out as a product company, but eventually became part service since we spend incredible amount of time servicing our customers. Every customer comes with its own set of requirements and then expects us to modify the product accordingly. In such conditions, we can only acquire as many customers as we can service, then what is the meaning of being a product company?
To grow and scale, the company wanted its product to be truly self serviced. The customers should be able to do the modification themselves without writing a single line of code. Now the focus shifted from the backend to the frontend where the user comes in contact with the product and has to use it. Hence, the need for a great User Experience.
We knew without understanding the domain of HR we will not be able to add any value. Our process started with long and detailed discussions about how companies use the current software, what are the problems, how is the software technology helping them solve the issues and what is left desired?
We realised even though the software solves a lot of problems, it couldn’t do without imparting a lot of training to the HR administrator, someone who manages the software for the entire company. Without a demo, this product was difficult to work on and hence there was a need for a service personnel to come in regularly.
We focused on workflows to begin with. Take the 80/20 into play. We prioritised scenarios in various modules and screens. This gave us a base for a usable workflow. We started with the toughest module first. We knew, if we cracked this the other modules would be relatively easier to handle. We questioned each and every screen of the module - why is it needed, what problem is it solving, does the user need to know this- to name a few.
We decided to follow the Agile development process. We worked on wireframes, reviewed them and then put them into production. While we moved to the next module, the development team developed the concept based on the provided wireframes. This gave us an idea of how the module worked based on our design and how usable it had become now.UX Design is iterative.
Once the whole product was done in black and white, we designed the skin for it, the GUI. Some cosmetic changes like branding and the website gave the whole product a fresh new feel. We had set a good base for next round of iterations.
The Product had now started gaining more traction. But the company wanted to do even better. The focus of round 2 was to bring UI standardization and deal with new usability issues. We made the design more flexible and standardized almost 80% of the screens. We then looked at the critical processes like Trial, Setup and Buying processes to help improve conversions.
